Circuit Court Clerk in Galesburg
Mary Ostrander serves as the Knox County Circuit Court Clerk. The office is at 200 South Cherry Street, Galesburg, IL 61401. You can call the clerk at 309/345-6719 or send a fax to 309/345-0098. The office website is at knoxcounty-il.gov/circuit-clerk.
The clerk's office is the official custodian of criminal court records for Knox County. Criminal cases range from traffic and petty offense matters to felony prosecutions. All of them generate records that the clerk indexes and stores. When you need a copy of a case document, the clerk is where you go. The office can also confirm whether a case exists and what the current status is.
To get records in person, you'll need the name of the person in the case and ideally the year the case was filed. Staff will search the index and pull the file. Copies cost a per-page fee under state law. Certified copies, which have an official court stamp and are suitable for legal use, cost a bit more. State law under 705 ILCS 105 governs what circuit clerks charge and what services they must provide.
For mail requests, write a letter with the defendant name, approximate filing date, and the case number if you have it. Include a check or money order for estimated copy fees. The clerk will search and mail back results, or contact you if more information is needed.

Keep in mind that Judici is a third-party service, not an official government system. For older cases or anything you need to rely on legally, get records directly from the clerk's office.
The state's re:SearchIL system at researchil.tylerhost.net is another free tool that covers criminal and civil cases from courts statewide. It has been free to the public since May 1, 2025. Because re:SearchIL connects to the official court case management system, it often has more current data than Judici for recently filed cases.
What Records Are Public and What Is Not
Public criminal court records in Knox County include complaints, indictments, motions, orders, plea agreements, sentencing documents, and dockets. Case numbers, hearing dates, and final dispositions are also public. Anyone can review these records without giving a reason or showing identification.
Not everything is open. Juvenile criminal cases are confidential under Illinois law. Sealed and expunged records are removed from the public index by court order. Social Security numbers and certain financial identifiers are redacted from copies before they are handed out. In some case types, victim names may be withheld as well.
Illinois courts are exempt from the Illinois Freedom of Information Act under 5 ILCS 140. FOIA requests to the circuit clerk will not be processed. Access to criminal court records in Knox County follows court rules and judicial statutes, not the general FOIA framework. This is different from, say, requesting records from a county board or police department, where FOIA does apply.
